Appointments

Viewing the Appointments Dashboard

The Appointments Dashboard displays all active appointments. Select the view drop-down to update the displayed information.

The dashboard displays the following information:

  • Name

  • Service Call

  • Service Account

  • Appointment

  • Booking Type

  • Resource

  • Start Date

  • Duration

  • Appointment Booking

Creating Appointments

Appointments can be created from:

  • The service call by selecting the Appointments tab and then selecting New Appointment, or

  • By selecting Appointments from the Service Operations sitemap and then selecting New.

On the New Appointment window, complete the following fields as needed:

General Tab

On the General tab, enter the following information:

  • Name: This will auto-populate with the appointment ID.

  • Service Call: Displays the service call ID.

  • Resource Requirement: Press Enter and then select the service call ID.

  • Start Time (required): Select the start date and then enter the start time.

  • End Time (required): Defaults based on the start time and duration.

  • Duration (required): Enter or select the appointment duration in minutes.

  • Capacity: Enter the capacity that needs to be taken from the resource capacity. This option currently is not used with WennSoft Service.

  • Resource (required): Select the resource.

  • Appointment Status (required): Select the appointment status.

  • Booking Type (required): Select whether the appointment is solid or liquid. Solid appointments are firm and cannot be changed. Liquid appointments can be changed. This option currently is not used with WennSoft Service.

Timeline Tab

The Timeline tab displays any notes, including resolution notes, associated with the appointment. (This will be empty when creating a new appointment.)

Service Tab

The Service tab displays information related to the appointment, including:

  • Crew: This field is populated by the system to define which crew an appointment is connected to. This option currently is not used with WennSoft Service.

  • Service Call: The associated service call.

  • Agreement Booking Date: The date the appointment was created.

  • Total Cost: The total cost for the appointment.

  • Total Billable Duration: Shows the total billable duration. If you leave this field blank, the system automatically determines the billable duration by calculating the resource journal details.

  • Total Duration In Progress: Shows the total duration that this appointment was in progress.

  • Total Break Duration: Shows the total break duration. If you leave this field blank, the system automatically determines the break duration by calculating the resource journal details.

Scheduling Tab

The Scheduling tab displays information related to the appointment's scheduling details.

  • Arrival Time section:

    • Estimated Arrival Time: Shows the estimated arrival time.

    • Actual Arrival Time: Shows the time the work started.

  • Other section:

    • Allow Overlapping: Allows the time of this appointment to be displayed on the schedule assistant as available.

    • Booking Method: Shows the method used to create this appointment.

      • Optimization

      • System - Agreement Schedule

      • Schedule Board

      • Mobile

      • Manual

      • Schedule Assistant

    • Resource Group: Unique identifier for the resource associated with the resource booking.

    • Time Group Detail Selected: Displays the time group detail.

    • Cascade Crew Changes: Defines whether changing any of the following fields (Start Time, End Time, Status) should cascade the changes to other appointments on this requirement that have the same start and end time. This option currently is not used with WennSoft Service.

    • Accept Cascade Crew Changes: Indicates if this appointment allows changes to be applied as cascading updates. This option currently is not used with WennSoft Service.

  • Travel section:

    • Estimated Travel Duration: Shows the estimated travel duration.

    • Actual Travel Duration: Shows the total travel duration. This is calculated based on the difference between the resource’s start time and actual arrival time.

    • Miles Traveled: Enter the total miles the resource drove to the job site.

  • Location section:

    • Work Location: Select the work location.

      • Onsite

      • Facility

      • Location Agnostic

    • Latitude: Latitude information.

    • Longitude: Longitude information.

  • Select Save or Save & Close.
