Enter an Inventory Transaction
Use the Inventory tab to enter billable inventory costs for an appointment.
To enter an inventory transaction:
On the appointment, select the Inventory icon.
The Inventory list displays the inventory that has been added to the appointment or service call from WennSoft Service or the technician.
Select the Add button to add inventory.
The Inventory form displays with two tabs: Info and Amounts.
Select the Info tab to view or add the following information:
Service Call: This read-only field displays the service call ID.
Appointment: This read-only field displays the appointment ID.
Description: Enter a brief description.
Internal Description: Enter a brief internal description.
Select the Amounts tab to enter the inventory item information.
Non Inventory: If you are adding an item that is not part of the inventory in your warehouse (truck) that you would charge the customer for, toggle this option to On. For example, safety glasses.
Warehouse: This read-only field auto-populates with the warehouse assigned to you in WennSoft Service (Settings > Resource > Service tab > Warehouse). For example, this may be your truck. This field is not displayed if you are creating a non-inventory item.
Product (required): Select the product. Products are added to your warehouse in Business Central. If you do not see the product name in the list, you will need to contact the back office to have them add the product to Business Central. Your warehouse (truck) must have this product in stock.
Unit (required): This read-only field shows the default unit of measure for the selected product.
Status (required): This defaults to Used.
If an inventory item was added in WennSoft Service with a status of Estimated, you can edit this item to change the status to Used. Only inventory items with a status of Used are added to the invoice.Est. Qty: If you are estimating that you will use the inventory item, you can enter a quantity.
Quantity (required): Enter the quantity used.
Est. Unit Cost: This auto-populates for the inventory item.
Unit Cost: This auto-populates for the inventory item. For non-inventory items, enter the unit cost.
Est. Unit Price: This auto-populates for the inventory item.
Unit Price: This auto-populates for the inventory item. For non-inventory items, enter the unit price. (This may be the same as the unit cost amount.)
Est. Total Price: The total price auto-populates with the estimated unit price multiplied by the estimated quantity.
Total Price: The total price auto-populates with the unit price multiplied by the quantity.
Select Save to return to the Inventory list. The item is added to the Inventory list.
Edit an Inventory Item
You can edit the inventory item by selecting the item and then selecting More. Edit as needed and then save the edits.
Delete an Inventory Item
You can remove an inventory item from the list by selecting the item and then selecting Delete.
