Workflow Details

The Details step may contain panels for Appointment, Service Call, Equipment, Location, and Customer. The organization determines the order, visible fields, read-only fields, notes, contacts, equipment assignment, and equipment creation options.

  1. Open Details.

  1. Expand the entity panel you need.

  1. Review the displayed values and identify fields that are editable.

  1. Enter or select the new value. For free-entry fields, leave the field so the app commits the draft change and enables Save.

  1. Select Save within that entity panel.

  1. Confirm that the pending-sync indicator or saved value reflects the result.

Appointment Information

  1. Open Details, then expand Appointment.

  1. Review the displayed appointment context, including Appointment Number, Service Call, Customer, Location, and Priority when those fields are configured.

  1. Update any configured editable fields, such as Start Time, End Time, Duration, Estimated Duration, Appointment Status, or Appointment Substatus.

  1. Enter Duration and Estimated Duration as decimal hours. For example, enter 1.5 for 90 minutes.

  1. When changing Appointment Status, select an available status other than Complete. Complete the appointment from the Resolution step instead.

  1. Leave the edited field so the app commits the draft and enables the panel action.

  1. Select Save in the Appointment panel.

  1. Confirm the updated value or Pending sync indicator appears.

Service Call Information

  1. Open Details, then expand Service Call.

  2. Review the displayed service-call context, including Service Call Number, Customer, Location, Problem Type, Call Type, Preferred Technician, Service Call Status, Service Call Substatus, and Priority when configured.

  1. Update any configured editable fields, such as Name, Estimated Duration, Description, Purchase Order Number, or Resolution Notes.

  1. Enter Estimated Duration as decimal hours when the field is available.

  1. Enter Description manually in the multi-line field.

  1. Leave the edited field so the app commits the draft and enables the panel action.

  1. Select Save in the Service Call panel.

  1. If a conflict review appears because the server record changed, follow the displayed resolution action. Otherwise, confirm the updated value or Pending sync indicator appears.

Equipment: Find, create, assign, or unassign equipment

  1. Open the Equipment panel.

  1. Use assigned or unassigned equipment search to find equipment at the appointment/service-call location. Search can match Barcode.

  1. Use the barcode scanner action when available. Allow camera permission if prompted.

  1. Select the equipment record.

  1. Use the assignment action to assign or unassign it from the current service call when permitted.

  1. To create equipment, select the create-new action when available.

  1. Complete the equipment form. Use Assigned to this service call to control assignment when that option is enabled.

  1. Select Save.

  1. If the server must assign the number, verify that Equipment number displays PENDING until synchronization completes.

Customer Information

  1. Open Details, then expand Customer.

  1. Review configured read-only information such as Customer Name, Customer Number, Status, Industry, Tax Liable, Credit Limit, Credit Hold, and Bill-to Customer.

  1. Update any configured editable fields, such as Phone, Email, Website, Address Line 1, Address Line 2, City, State/Province, Postal Code, or Country.

  1. Leave Email blank when no address is available or enter a valid email-address format.

  1. Leave the edited field so the app commits the draft and enables the panel action.

  1. Select Save in the Customer panel.

  1. Confirm the updated value or Pending sync indicator appears.

Location Information

  1. Open Details, then expand Location.

  2. Review configured read-only information such as Location Name, Location Number, Customer, Preferred Technician, Tax Area Code, Tax Liable, and External Reference.

  1. Update any configured editable fields, such as Phone, Email, Address Line 1, Address Line 2, City, State/Province, Postal Code, or Country.

  1. Leave Email blank when no address is available, or enter a valid email-address format.

  1. Leave the edited field so the app commits the draft and enables the panel action.

  1. Select Save in the Location panel.

  1. Confirm the updated value or Pending sync indicator appears.

Notes: Add or Edit a Note

Notes can be added to a service call, appointment, customer, location, contact, and equipment.

  1. Open the entity panel that contains the notes/annotations area.

  1. Select the available add-note action.

  1. Complete Title and Note when marked required.

  1. Set the internal-note option when that control is available and appropriate.

  1. Add file attachments when cloud attachments are enabled.
    Note: Synced cloud documents are opened only when you explicitly request them and require a connection. Pending offline attachments cannot be viewed until upload completes. The processed limit is 10 MB per file.

  1. Select the note Save action.

  1. If offline, confirm that the note or attachment shows Pending sync.

Contacts: Work with Contacts

  1. Open the Customer or Location panel.

  1. Open its contact area. Customer contacts and location contacts are separate lists.

  1. Select a contact to review it or use the available create/edit action when allowed.

  1. Complete required fields and verify any nonblank Email value has a valid email-address format.

  1. Choose values for Preferred Contact Method, Preferred Contact Day, and Preferred Time when needed. These selectors may be cleared; a new contact's Preferred Time defaults to 8:00 AM.

  1. Enter Notes manually.

  1. Select the contact Save action.
