Subcontractor Document Types

Use Subcontractor Document Types to define reusable compliance-document setup for vendors and subcontractor agreements. A document type describes the expected document and its default behavior; it is not the completed compliance document.

  1. Go to Settings > Job Cost > Subcontractor Document Types.

  1. Select New Subcontractor Document Type or open an existing document type.

  1. Define the document type. Set the classification, scope, expiration behavior, enforcement, and display order.

    • Name (Required): Enter the reusable name displayed when users add a document requirement. Names must be unique within the active company and business unit.

    • Description: Explain what the document is and when it is used.

    • Category (Required): Select Insurance, Lien Waiver, License, Certification, Bond, Agreement, Tax, or Other. Category supports classification; the behavior fields below control how the type operates. The default is Other.

    • Default Scope (Required): Select Vendor when the document normally belongs to a vendor, or Subcontractor Agreement when it normally belongs to a specific agreement. The default is Vendor.

    • Requires Expiration: Select this when uploaded documents of this type normally require an expiration date. It is cleared by default.

    • Default Enforcement (Required): Select Block, Warning, or Ignore as the default downstream response to a missing or expired requirement. Enforcement actions are applied by the workflows that use the type. The default is Warning.

    • Reminder Lead Days: Enter the number of days before expiration when the document should begin showing as expiring. Leave blank when no reminder lead is needed.

    • Sort Order (Required): Enter the number that controls the type's order in lists and pickers. The default is 0.

    • Active: Leave selected to make the type available when users add new vendor or agreement document tracking. Clear it to retire the type while preserving historical use. New records are active by default.

  2. Select Save. Saving the record makes the optional Reference Template controls available.
