Covered Systems identify the building systems included in a Maintenance Contract.
Create a Covered System
-
Select Settings, then under Service, select Covered Systems.
-
Select New. The information page opens for the new value.
-
Complete the following fields:
-
Name (Required): Enter the customer-visible system label. Use a concise, distinct name that matches the systems your organization covers, such as HVAC, Plumbing, or Fire Protection. Leading and trailing spaces are removed when you save.
-
Active: Leave this selected to make the system available for new Maintenance Contract selections. It is selected by default. Clear it when the system should remain on historical assignments but no longer be available for new selections.
-
-
Select Save. The new value is saved and the list reopens.
Rename or Change a Covered System
-
Select Settings, then under Service, select Covered Systems.
-
Select the covered system name from the list.
-
Update the value. Change Name or Active using the field guidance above. Select Active to reactivate an inactive value, or clear it to deactivate the value.
-
Save the changes. Select Save. Use the back control to return to the list when you are finished.
Results and Limitations
An active Covered System can be selected on a Maintenance Contract, and a contract may include more than one. At least one Covered System is required before a Draft contract can be activated. When the contract name has not been manually changed, the selected systems contribute to the suggested name.
-
Deactivating a system removes it from new Covered System selections. Existing contracts keep their historical assignment, and the inactive system remains available for administrators to review or reactivate.
-
The same Covered System name cannot be used more than once within the same company and business unit. Use a distinct name if saving reports a conflict.
-
To restore an inactive value, open it, select Active, and select Save. There is no delete action for Covered Systems.
