Contract Categories classify Maintenance Contracts for reporting and help form the suggested contract name.
Create a Contract Category
-
Select Settings, then under Service, select Contract Categories.
-
Start a new value. Select New. The information page opens for the new value.
-
Enter the value. Provide the label and decide whether it is immediately available for new contracts.
-
Complete the following fields:
-
Name (Required) Enter the customer-visible category label. Use a concise, distinct name that reflects how your organization groups contracts, such as Preventive Maintenance or Full Service. Leading and trailing spaces are removed when you save.
-
Active (Optional) Leave this selected to make the category available for new Maintenance Contract selections. It is selected by default. Clear it when the category should remain on historical assignments but no longer be available for new selections.
-
-
Save the value. Select Save. The new value is saved and the list reopens.
Result: The Contract Category is created for the active business unit. If Active is selected, it is available for new Maintenance Contract assignments.
Rename or Change a Contract Category
-
Find the value. On Contract Categories, use Search contract category if needed, then select the contract category name from the list.
-
Update the value. Change Name or Active using the field guidance above. Select Active to reactivate an inactive value, or clear it to deactivate the value.
-
Save the changes. Select Save. Use the back control to return to the list when you are finished.
If another administrator changed the list, select Refresh before searching or editing so you are working with the latest categories.
Results and Limitations
○ An active Contract Category can be selected on a Maintenance Contract. A category is required before a Draft contract can be activated. When the contract name has not been manually changed, the selected category contributes to the suggested name.
○ Deactivating a category removes it from new category selections. Existing contracts keep their historical category assignment, and the inactive category remains available for administrators to review or reactivate.
○ The same Contract Category name cannot be used more than once within the same company and business unit. Use a distinct name if saving reports a conflict.
○ To restore an inactive value, open it, select Active, and select Save. There is no delete action for Contract Categories.
