Use the Equipment workflow step to give FORGE Mobile technicians a dedicated equipment workspace inside an appointment workflow. Administrators choose which equipment fields technicians can see or edit and whether they can work with annotations, service call assignments, and new equipment records.
Add a Standalone Equipment Step
-
Open Workflow Designer. In the Web App, select Settings, Mobile, and then Workflow Designer.
-
Open the workflow. Select the workflow that should contain the Equipment step. Select Add Step if the step does not already exist.
-
Set the step identity. Select the step in the workflow outline and enter its basic settings.
-
Complete the following fields:
-
Step Name (Required) Enter the technician-facing name for the step, such as Equipment. Every workflow step must have a name before the workflow can be saved.
-
Step Type (Required) Select Equipment. This limits the step to the Equipment entity and opens its field and access settings.
-
Active (Optional) Leave selected to show the step in the technician workflow. Clear it to keep the configuration in the designer while hiding the step from technicians.
Equipment is always optional. The designer does not show a Required setting for a standalone Equipment step, and the step does not block appointment completion.
Configure Equipment Access
-
Choose annotation access. Control whether technicians can see and maintain notes for equipment records.
-
-
Show annotations (Optional) Shows equipment annotations in the mobile step. New Equipment steps have this setting selected.
-
Allow annotation CRUD (Optional) Allows technicians to create, update, and delete equipment annotations. Clear it to keep shown annotations read-only. This setting is unavailable when Show annotations is cleared and is off by default for a new Equipment step.
-
-
Choose equipment actions. Set the actions technicians may perform from the Equipment step.
-
-
Allow assignment editing (Optional) Allows technicians to assign location equipment to the parent service call or remove an existing assignment. New Equipment steps have this setting selected.
-
Allow create new equipment (Optional) Allows technicians to create equipment for the appointment location. New Equipment steps have this setting selected. Creating and assigning are separate actions, so this setting does not require assignment editing to be enabled.
-
Assignment changes apply to the parent service call, not only to the appointment. Technicians can work only with equipment at that service call's Location.
Choose Equipment Fields
-
Find a field. Use the Available fields area to locate a standard or custom equipment field, then select Add.
-
Search available fields (Optional) Filter the picker by label, field key, or data type. The search changes only the picker and is not saved with the workflow.
-
Set field behavior. Review each added field in Selected fields, arrange the technician display order, and choose whether supported fields can be edited.
-
Read only (Optional) Select this for a supported editable field when technicians should view but not change it. Fields that the product does not support editing are locked to Read only.
Drag selected fields to reorder them, or use the Move up and Move down actions. Remove deletes the field from this workflow step only; it does not remove data from an equipment record.
-
Select the equipment fields. Add the standard fields technicians need. All field selections are optional.
-
Equipment Name (Optional) Shows the equipment name. Editable by default when added; select Read only to prevent changes.
-
Equipment Number (Optional) Shows the equipment number. Existing records always keep this field read-only. New records may accept a manually entered number only when the Business Unit is not using Equipment auto-numbering.
-
Customer Name (Optional) Shows the customer associated with the equipment. Always read-only.
-
Location Name (Optional) Shows the equipment Location. Always read-only.
-
Equipment Type (Optional) Shows the assigned Equipment Type. Always read-only in the workflow field editor.
-
Manufacturer (Optional) Shows the equipment manufacturer. Always read-only in the workflow field editor.
-
Barcode (Optional) Shows the barcode. Editable by default when added. Barcode scanning and search remain available in the Equipment workspace.
-
Serial Number (Optional) Shows the serial number. Editable by default when added.
-
Install Date (Optional) Shows the installation date. Editable by default when added.
-
Warranty Start (Optional) Shows the warranty start date. Editable by default when added.
-
Warranty End (Optional) Shows the warranty end date. Editable by default when added.
-
Warranty Terms (Optional) Shows warranty details. Editable by default when added.
-
Model (Optional) Shows the equipment model. Editable by default when added.
-
Year Built (Optional) Shows the year the equipment was built. Editable by default when added. In FORGE Mobile, year selection begins at 1900.
-
Description (Optional) Shows the equipment description. Editable by default when added.
-
Business Unit custom field labels (Optional) Active Equipment custom fields appear after the standard fields using their configured labels. They can be selected, ordered, and made read-only in the same way as editable standard fields.
-
-
Set field behavior. Review each added field in Selected fields, arrange the technician display order, and choose whether supported fields can be edited.
-
Mark Read only when technicians should view but not change it. Fields that the product does not support editing are locked to Read only.
-
Drag selected fields to reorder them, or use the Move up and Move down actions. Remove deletes the field from this workflow step only; it does not remove data from an equipment record.
-
-
Select Save Workflow.
Add Equipment to a Combined Step
-
Open the Combined step. Select an existing Combined step, or add one to the workflow.
-
Add an included step. In Included steps, add a child and select Equipment as its type.
-
Included step name (Required) Enter the technician-facing tab name. The Combined step cannot be saved while an included step has a blank name.
-
Included step type (Required) Select Equipment. The child is displayed as Optional because Equipment cannot be required.
-
-
Configure the Equipment child. Use the same annotation, assignment, creation, and field settings described above. Reorder the child with drag and drop or the arrow actions when needed.
Save and Verify
-
Save the workflow. Select Save or Save Workflow. Resolve any validation message before continuing.
-
Reload an open appointment. Saving notifies active FORGE Mobile sessions. A technician already inside an appointment that uses the workflow must return to the appointment list and reopen the appointment before the updated step appears.
-
Verify the technician experience. Open an appointment with a Location and confirm that the Equipment step shows the intended fields and actions.
Result: The active workflow displays a dedicated, optional Equipment step. Technicians can view assigned and unassigned location equipment, search or scan barcodes, and use only the editing actions enabled by the workflow configuration.
