AI Configurations

Mobile AI Configurations lets an authorized administrator control the information, length, instructions, and examples used when FORGE Mobile generates an Appointment Resolution Summary. Each saved configuration applies to the active company and business unit.

Before you begin:

  • FORGE Mobile must be enabled for the active company and business unit, and you must have permission to maintain settings. AI generation also requires Registration > AI Enhancements to be enabled with valid connection details.

  • AI summary generation is online-only and requires the workflow Resolution step's AI option to be enabled. If no active Mobile AI Configuration exists, the service can use its standard defaults and available request values. Saving resolution notes is separate from AI generation and can remain available offline.

  • Length guide: About 300 characters is a couple of sentences, 1,200 is a couple of paragraphs, and 3,000 is about one page.

To set up the AI Configuration:

  1. Go to Settings > Mobile > AI Configurations. If FORGE Mobile is not enabled in Registration, this page is hidden.

  2. Set the character limits by completing the following fields:

    • Max Output Chars (Optional): Enter a whole number from 150 through 2,000 to limit the generated summary. The recommended starting value is 1,200 characters, or about a couple of paragraphs. Leave blank to use the runtime default.

    • Max Input Chars (Optional): Enter a whole number from 300 through 6,000 to limit how much selected appointment context is sent for generation. The recommended starting value is 3,000 characters, or about one page. Leave blank to use the runtime default.

  3. Choose the information included in the summary request
    Under Include Sections, select only the context the AI needs. For a new configuration, all options except Appointment Tasks are selected by default.
    Complete the following fields:

    • Appointment (Optional): Includes appointment details in the AI request.

    • Service Call (Optional): Includes related service call details.

    • Current Resolution Note (Optional): Includes the technician's current draft resolution text.

    • Labor Time (Optional): Includes appointment time-entry context for labor and identifies that labor time was selected.

    • Travel Time (Optional): Includes appointment time-entry context for travel and identifies that travel time was selected. Selecting Labor Time or Travel Time includes the available time-entry set.

    • Labor Costs (Optional): Includes labor-related service cost information.

    • Inventory Costs (Optional): Includes inventory-related service cost information.

    • Appointment Tasks (Optional): Includes the complete current appointment task set, including instructions, response values, completion or skip state, and skip reason. Photos and other attachment files are not included.

  1. Shape the generated response by completing the following fields:

    • Prompt Instructions (Optional): Describe the tone, emphasis, wording, or content rules the AI should follow. These instructions supplement the standard resolution-summary prompt.

    • Output Template (Optional): Enter free-form template text that shows the preferred structure of the result. This field does not require JSON formatting.

    • Sample Summaries (Optional, up to 5): Provide as many as five examples of a good summary. Examples help demonstrate the tone, level of detail, and structure you want.

  1. Select Save. A confirmation message appears when the configuration is stored. Select Refresh at any time to reload the saved values for the selected request type.

  1. Use the configuration in FORGE Mobile. When a technician uses Generate Summary in an AI-enabled Resolution step, the saved configuration overrides the standard runtime values for the selected sections, instructions, template, examples, and character limits.
