Set Service Call Defaults

Complete the following fields:

  • Default Service Call Priority: Choose the fallback priority for new calls. A problem type's own default priority takes precedence when one is configured.

  • Scheduled Open Substatus: Choose the Open substatus applied when the first appointment is created for an Open call.

  • Auto-complete service call when all appointments are Complete: Enable this to change the call to Complete after its final appointment is completed; the default Complete substatus is then applied.

  • Default Reimbursement Rate Category: Choose an active category whose usage is Reimbursement. It prefills reimbursable time entries; leaving it blank allows entry without a rate-category default. The selected category should include a Non-Inventory product when reimbursement pricing needs one.

  • Default Reimbursement Cost Category: Choose an active non-labor cost category to prefill reimbursable time entries. Leaving it blank allows entry without a cost-category default.

Configure Business Central Dimensions

Complete the following fields:

  • Use global service dimension: Enable dimension tagging on supported service transactions and invoices. When disabled, the global dimension and value are not included.

  • Global Service Dimension: Choose the Business Central dimension used for global service tagging. This field is available only when Use global service dimension is enabled.

  • Global Service Dimension Value: Choose the value for the selected global dimension. If the dimension or value is missing, supported ERP sends continue without this dimension pair.

  • Service Call Dimension: Choose the dimension used to classify individual service calls. Customers and locations can then provide a default value, and calls can require a value when this dimension is configured.

  • Department Dimension: Choose the dimension used for employee department mappings and unbilled labor journal posting. Unbilled posting requires an active dimension and a valid employee department mapping.

Define Schedule Board Hours and Holidays

Complete the following fields:

  • Day: Enable each working day that should appear by default. Monday through Friday default to enabled; Saturday and Sunday default to disabled.

  • Start (Required when a day is enabled): Enter the day's working start time. The default is 8:00 AM for every day.

  • End (Required when a day is enabled): Enter the day's working end time. Monday through Friday default to 5:00 PM; Saturday and Sunday default to noon.

  • Holiday date: Choose a date and select Add date. Saved dates display in the browser's locale and are skipped when maintenance visits are generated. Use Remove to delete an exception.

Operational effect: Schedule Board hours control planner placement and conflict checks and supply maintenance visit start times. Verify the workday spans before generating maintenance visits.

Configure Maintenance Contracts

This section is available only when Service and Maintenance Contracts are enabled in WennSoft Registration.

Complete the following fields:

  • Maintenance Call Type (Required when Maintenance Contracts is enabled): Choose the call type applied to generated maintenance service calls.

  • Maintenance Priority (Required when Maintenance Contracts is enabled): Choose the priority applied to generated maintenance service calls.

  • Split strategy: Choose Single tech, multiple days or Multiple techs, same day for estimated work that exceeds the configured workday. The default is Single tech, multiple days.

  • Default Maintenance Billing Product: Choose the Service product used for contract billing when the individual contract does not specify its own billing product.

Set Inventory Posting Group Rules

Configure the business posting group sent with inventory consumption to Business Central

  • Service T&M: Choose the active General Business Posting Group sent with inventory consumption for time-and-material service calls. Inventory Send to ERP is blocked when the required context rule is missing.

  • Service Maintenance Contract: Choose the active General Business Posting Group for maintenance-contract inventory consumption. A missing required rule blocks the send.

Set Report Options

Complete the following fields:

  • Call Summary Report: Choose a published fixed-layout report as the organization's default Call Summary report. Printing is unavailable until a report is selected.

  • Service Invoice Report: Choose a published fixed-layout report used to archive posted service invoice PDFs. Without a selection, the standard invoice PDF behavior is used.

  • Email Subject: Enter the customer email subject. Leave it blank to use the standard system subject. Supported tokens are listed beneath Email Message.

  • Email Message: Enter the customer email body. Leave it blank to use the standard message. Available tokens include {{InvoiceNumber}}, {{ExternalDocumentId}}, {{CustomerName}}, {{CompanyName}}, {{ServiceCallNumber}}, {{ServiceCallName}}, {{LocationName}}, and {{InvoiceDate}}.

  • Reply-To Email: Enter the reply-to mailbox. If blank, the configured support reply-to address is used, or the sender address when no support address exists.

  • Reply-To Display Name: Enter the friendly name shown with the reply-to address.

Work In Progress (WIP)

Work In Progress (WIP) Accounting: Enable this to run the WIP-to-COGS relief posting flow in Business Central when service invoices are posted. The default is off.

IMPORTANT: Once you have posted transactions, do not update this option.

Direct Posting

Allow direct Business Central posting for service call costs: Enable this to show Post for authorized users on Service Call Products/Services. When off, transactions are sent to Business Central using the Send to ERP option and the transactions need to be posted in Business Central. The default is off.

Direct Posting ON: Additional Business Central Information

You will need to have the following pre-numbering journals set up in Business Central (BC) if Direct Posting is ON:

  • General Journal: With this journal, you will need to have Default Nos. (Numbers) and Manual Nos. (Numbers) marked. This journal needs to be assigned to the Service GL Batch(es) in the No. Series column.

  • Item Journal (pre-number): With this item journal, you will need to have Default Nos. (Numbers) marked. This item journal needs to be assigned to the Service Item Batch(es) in the No. Series column.

The appropriate pre-number journal also needs to be assigned to the batch that is set up in BC as the No. Series. Transactions posted directly to BC will use the BC numbering system set up for the pre-numbering journals.

Create Business-Unit Custom Fields (If Needed)

In Custom Fields, select Add field for each additional value to collect on Service Calls, Appointments, or Equipment. Definitions apply only to the active business unit; up to 30 active fields are supported per entity.

Complete the following fields:

  • Display Name (Required): Enter the customer-visible label. Save Custom Fields remains unavailable when this is blank.

  • Field Name (Required): Enter a unique snake_case name for the selected entity. It must start with a letter, contain only lowercase letters, numbers, or underscores, and be 3-50 characters. Typing a display name suggests this value.

  • Entity: Choose Service Call, Appointment, or Equipment. Service Call is the initial choice for a new definition.

  • Data Type: Choose Text, Boolean, Integer, or Decimal. Text is the initial choice; lookup, date, option-set, default-value, and required-field rules are not currently supported.

  • Sort Order: Enter the display order. New fields start at 100 and increase in increments of 10.

  • Active: Keep this selected to show the field on the chosen entity. Deactivating a definition hides it but preserves values already stored.

Select Save Custom Fields after validation messages are cleared. Remove deletes a new row from the draft; stored definitions can be deactivated when historical values must be preserved.

Configure AI Enhancements

This section is available only when AI Enhancements is enabled in WennSoft Registration.

Complete the following fields:

  • Use AI to draft the resolution summary when completing service calls: Enable automatic drafting from non-internal service call and appointment notes. AI writes only when the resolution note is empty.

  • Resolution summary prompt: Enter the instructions used to create the draft. Leaving it blank while the feature is enabled uses the standard prompt; Reset to default restores that prompt.

Save the Settings tab

Select Save in the command bar. A Settings saved confirmation appears and the stored values reload. Use Reset to discard unsaved changes in the Settings tab, or Refresh in the Service Calls card to reload the latest saved values.
