You can correct an approved service call time entry while preserving the original record. Users with time-entry write access can reverse all or part of the hours, or move hours to corrected service, appointment, rate, and billing details.
Before You Begin
Open Time Entries, select the employee and pay period, and locate the entry in the Travel/Labor tab. If the row shows Edit, use the normal edit form. Saving an eligible approved edit reopens the entry and, when needed, its timesheet to Open.
Use Reverse when the approved entry is locked against direct editing. Reverse appears only for an approved original entry linked to a service call, after related background processing is complete, and before another correction has been created from that entry.
You need time-entry write access. If neither Edit nor Reverse appears, the entry is not currently eligible for a customer correction action.
Start a Correction
-
Open the correction. In the Travel/Labor grid, select Reverse on the approved time-entry row.
-
Review the original entry. Confirm the displayed service call, appointment, cost category, rate category, start time, end time, and hours before continuing.
-
Choose the correction method. Use Reverse to remove hours from the original allocation, or use Modify/Reclassify to move hours to corrected details.
-
Complete the following fields:
-
Correction action (Required): Reverse is selected by default. Select Modify/Reclassify when the hours need a different service call, appointment, rate category, or billable setting.
-
Correction Date (Required): Read-only effective and audit date for the correction. It defaults to the current date and does not move the correction to another pay period.
-
Correction Reason: Enter a short explanation for the correction. The reason is saved on the generated correction rows.
-
Reverse All or Part of the Hours
-
Use Reverse when the original allocation should be reduced without adding replacement segments.
-
Choose the reversal amount. Reverse the full duration or enter a smaller number of hours.
-
Complete the following fields:
-
Do you want to reverse the whole time entry? (Required): Select Yes to reverse the full original duration. Select No to enter a partial reversal.
-
Hours to reverse (Required when No is selected): Enter a value greater than 0 and no more than the original Hours. The field accepts decimal hours, such as 0.25 for 15 minutes.
-
-
Select Reverse. The system keeps the approved original entry and creates a separate Open entry with a negative duration on the original timesheet.
Modify or Reclassify the Hours
-
Select Modify/Reclassify. Use this option to stage one or more corrected segments and offset the hours moved from the original allocation.
-
Stage a corrected segment. Enter the corrected values, then select Add Segment. Repeat this step when the original hours must be split across more than one corrected allocation.
Complete the following fields:-
Service Call (Required): Select the destination service call. Closed service calls are not available.
-
Appointment: Select an appointment belonging to the chosen service call. Changing Service Call reloads and clears this list.
-
Hours (Required): Enter decimal hours greater than 0 and no more than the Remaining hours.
-
Rate Category (Required): Select the labor rate category for the corrected segment.
-
Billable: Select this checkbox when the corrected segment should be billable. A newly selected service call defaults the segment to billable.
-
-
Review the staged segments. Confirm each segment in the list. Use Edit or Remove before saving if a segment needs adjustment. Each segment must change at least one of Service Call, Appointment, Rate Category, or Billable. The same Service Call and Appointment combination cannot be staged more than once.
-
Choose how to handle unused hours. Use the remainder setting if the staged segments do not use the entire original duration. Mark Reverse remaining hours to create a negative correction for the unused hours. Leave it clear to keep those hours on the original allocation. The option is unavailable when no hours remain.
-
Select Modify/Reclassify. The system creates the required offset and replacement rows, keeps them on the original timesheet, and leaves the approved original unchanged.
Update an Existing Correction Group
-
Select Edit on a correction row that belongs to a group. The Edit Correction Group window opens the related sibling rows together.
-
Update the segment fields described above, select Remove for a segment that should be deleted, and adjust Reverse remaining hours if needed.
-
Save or delete the group.
-
Select Save Changes to apply the revised group.
-
Select Delete Group only when every row in the correction group should be removed, then confirm Delete Group.
-
Deleting a correction group cannot be undone. Grouped correction rows are managed together rather than deleted one at a time from the grid.
Result and Limitations
-
A saved correction preserves the approved original entry for audit history. Correction rows remain on the original timesheet even when the Correction Date falls in a different pay period.
-
A correction cannot be started from another correction row, from an entry that already has a descendant correction, or while related service-call cost processing is still pending. Corrections also wait until protected posting activity has completed.
