Labor Rate Groups define the billing context used when labor rates are resolved for service and job activity. A labor rate group contains the group header plus effective-dated billing and overhead rows by position and rate category.
How Labor Rate Groups Are Used
Labor Rate Groups provide the billing side of labor rate resolution. When labor is entered, the system can use the labor rate group, position, rate category, and effective date to resolve the correct billing rate and overhead values. Employee Rates remain separate and provide employee-specific cost setup.
Before You Start

Confirm that Positions and Rate Categories are already configured.

Decide which labor groups your customers, locations, or billing rules need.

Gather billing rates, overhead amounts, overhead percentages, and effective dates.

Review existing groups before creating a new one so rate setup stays clean.
Create or Update a Labor Rate Group

Open Labor Rate Groups from Shared Setup.

Search the list to confirm whether the labor rate group already exists.

Select New to create a group, or open an existing group to update it.

Complete the labor rate group header fields.

Code: The short identifier for the labor rate group. Use a stable code that is easy to recognize in customer, location, and rate setup.

Name: The display name users see when selecting or reviewing the labor rate group.

Active: Controls whether the group is available for normal selection. Inactive groups remain available for historical context.

Save the labor rate group header before adding billing rows.

Open the Rates and Overhead section for the selected group.

Add or update the billing and overhead row fields.

Position: The employee role the billing row applies to, such as technician, apprentice, or project manager.

Rate Category: The type of labor or time being billed, such as regular time, overtime, travel, or another configured category.

Billing Rate: The customer billing rate used for the selected labor rate group, position, and rate category.

OH/hr: The fixed overhead amount per hour stored with the billing row.

OH %: The overhead percentage stored with the billing row.

Default Rate Category: Marks the row's rate category as the default selection for matching time-entry context.

Effective Start: The first date the billing row can be used.

Effective End: The last date the billing row can be used. Leave it blank when the row should remain open-ended. If you enter an Effective End date, confirm it is the same day as or later than Effective Start.

Save the billing row.

Repeat the rate setup for each position and rate category combination the labor rate group needs.
Troubleshooting

A rate row will not save: Confirm Position, Rate Category, Billing Rate, and Effective Start are entered, and that Effective End is not earlier than Effective Start.

A rate is not available during time entry: Confirm the labor rate group is active and that the billing row matches the position, rate category, and work date.

The wrong category is defaulting: Review the Default Rate Category setting for the matching labor rate group and position.

A group is missing from lookup fields: Confirm the labor rate group is active and belongs to the current business unit.
