General Settings

Use General Settings to control shared options used by Service and Job Cost, manage the standard Business Central webhook bundle, run shared data migrations, and maintain search embeddings. Changes apply only to the company and business unit that are active when you work.

Open General Settings

Go to Settings > Shared Settings > General Settings. The page opens on the Settings tab and also provides Business Central Webhooks, Business Central Data Migration, and Search Embeddings tabs.

Settings Tab

Configure shared and timesheet options

On the Settings tab, review the shared numbering and posting options, followed by Timesheet Settings.

Shared Number and Posting Options

  • Allow FORGE to create PO numbers (Optional) - Select to allow a PO number to be entered on a new or editable draft purchase order when no active Purchase Orders auto-number rule exists. When that auto-number rule is active, system numbering remains authoritative. If this option is selected and no rule is active, the PO number is required on the purchase order.

  • Allow FORGE to supply customer numbers (Optional) - Select to keep the customer number editable when no active Customers auto-number rule exists. Clear it to lock local number entry and let Business Central assign the number after synchronization.

  • Allow FORGE to supply vendor numbers (Optional) - Select to keep the vendor number editable when no active Vendors auto-number rule exists. Clear it to lock local number entry and let Business Central assign the number after synchronization.

  • Create Unbilled GL Journal Entries (Optional) - Select to create Business Central General Ledger journal entries for approved unbilled time. Every active Labor Activity must then have both a debit and credit account. Clear it to keep those mappings optional and prevent unbilled journal creation. Posted entries use the UNBILLED batch.

Time Entry

  • Allow Crew Entry: Turns Crew Setup and eligible Crew Lead controls on for the active business unit. It is off unless enabled. Turning it off later hides those controls but does not delete Position flags or saved crew assignments. Select Save before continuing. The current Employees screen does not show the Crew Setup tab until this setting is enabled. See Crew Time Entry for more information.

Timesheet Settings

Settings for Timesheet Submittal and Reports

  • Require Signature (Optional) - Select to store the intent to require signatures in a future timesheet workflow. This setting does not currently change timesheet submission.

  • Default Timesheet Report (Optional) - Choose an active, published Fixed Report from the Reporting folder tree. Clear the selection if no default is needed. If the selected report is later deleted, this setting is cleared.

  • Report Recipients (Optional) - Enter valid email addresses separated only by semicolons, such as first@example.com; second@example.com. Commas and blank entries between addresses are rejected. A final semicolon is allowed and removed when saved; duplicate addresses are removed without regard to letter case.

  • Use Acknowledgement (Optional) - Select to show the acknowledgement message field. Clearing this option hides the message while retaining its saved text for a future re-enable. This setting does not currently record acknowledgement acceptance.

  • Acknowledgement Message (Required when Use Acknowledgement is enabled) - Enter plain multiline text. Press Enter for a new line. Formatting, HTML, images, links, and embeds are not supported. The message is retained when acknowledgement is turned off.

Current limitation: Timesheet settings are configuration only. They do not yet require a signature or acknowledgement, generate a report, or send report email.

Save the Settings tab

Select Save in the command bar. While saving, the page is temporarily locked. If a field is invalid, correct the message shown beside it and save again. The saved values apply to the active business unit.

Business Central Webhooks

  1. Open the Business Central Webhooks tab to create or refresh the shared webhook set used by both Service and Job Cost.

  2. Select Create/Update Business Central Webhooks to create or immediately reconcile the standard subscription bundle for the active business unit.
    The standard bundle covers:

    • Customers

    • Vendors

    • Items

    • Vendor Product References

    • Cost Audit Ledgers

    • Ship-to Addresses

    • Tax Area Codes

    • GL Accounts

  3. Select Refresh to reload the displayed status.

    • Existing subscriptions shows each active resource, its status, expiration, last-renewed time, notification address, and subscription reference.

    • Expired subscriptions are not shown, and managed subscriptions renew automatically before expiration.

Use Delete carefully: Deleting an individual subscription stops updates for that resource until the subscription is recreated. Select Delete only when that interruption is intended.

 Business Central Data Migration

  1. Open the Business Central Data Migration tab.

  2. Choose the Run button for the shared record set you want to refresh from Business Central:

    • Customer Posting Groups

    • General Posting Groups

    • General Product Posting Groups

    • Vendor Posting Groups

    • Customers & Locations

    • Vendors

    • Vendor Product References

    • Products

    • Payment Terms

    • Dimensions

    • Tax Area Codes

    • Accounting Periods

    • GL Accounts

  3. The request is queued for the active company and business unit and continues outside the browser.

  4. Select Refresh to review the latest status, processed/inserted/updated counts, last-synced time, and correlation value. Use Process Logs to follow completion or investigate errors. Avoid submitting the same migration again while its request is being queued.

Search Embeddings

  1. Open the Search Embeddings tab after a bulk customer, location, or equipment import that bypassed normal updates, or after relevant AI configuration changes.

  2. Select Run Search Embedding Refresh.

  3. The request returns immediately and runs in the background for the active company and business unit.

  4. Select Refresh Status to review status, processed and updated counts, completion time, and the trace value.

  5. Use Process Logs and the trace value to investigate a failure.

Confirm the Result

For settings changes, return to the Settings tab and confirm the saved choices for the active business unit. For webhooks, migrations, and search maintenance, refresh the applicable tab until the displayed status reflects the latest result. Confirm that you are still in the intended company and business unit before starting another operation.
