Configure MobileTech (Admin)

This topic explains how admins configure mobile settings and workflows that control what technicians see and do in the mobile app.

Open Mobile Settings

  1. In Forge, go to Admin.

  2. Open the Mobile section.

  3. Select Mobile Settings to configure defaults used by the mobile app.

Configure Mobile Defaults

  1. Set default values such as labor and travel rate categories.

  2. Set default pay codes and service products as needed.

  3. Create an Unassigned Resource for appointments that are not tied to a specific technician.

  4. Save your mobile settings.

Open the Workflow Designer

  1. In the Mobile section, select Workflow Designer.

  2. Use workflows to control required steps, step order, and available actions in the mobile app.

Define Workflow Rules (Optional)

  1. Add rules to control when a workflow applies.

  2. Create rules based on customer, service type, priority, or problem type.

  3. Leave rules empty if the workflow should apply broadly.

Add and Order Workflow Steps

  1. Add a new step to the workflow.

  2. Select a step type, such as Details, Time, Products, Expenses, or Resolution.

  3. Drag and drop steps or use the up and down arrows to control the order.

  4. Mark each step as Required or Optional.

Configure Details Steps

  1. Select the entities to display, such as appointment, service call, customer, location, or equipment.

  2. Choose which fields appear in the mobile app.

  3. Set fields to read-only or editable where allowed.

  4. Enable annotations and choose whether technicians can create, edit, or delete them.

Configure Time Steps

  1. Add a Time step to the workflow.

  2. Choose whether the step records travel time or labor time.

  3. Mark the step as required if technicians must enter time before completion.

Configure Product and Expense Steps

  1. Add a Products step to allow inventory and non-inventory items to be recorded.

  2. Add an Expenses step to capture expense-type costs.

  3. Control whether quantities, pricing, and edits are allowed.

Configure the Resolution and AI Summary (Optional)

  1. Add a Resolution step to the workflow.

  2. Enable AI summary generation if AI is configured for the tenant.

Open AI Summary (Optional)

  1. Define character limits for AI input and output if needed.

  2. Select which appointment details are passed to AI.

  3. Add sample summaries to guide the AI output.
