Setting Up the Transport Module

Setting up the Transport module involves choosing general setup options for how the module will function and creating job categories, job divisions, transport options, and a list of available trucks.

  1. Select Microsoft Dynamics GP > Tools > Setup > Equipment > Transport > Transport Setup.
  2. Complete the following fields:
    • Transport Item Number
      Used for billing purposes; the description will print on the invoice. Select a transport item or create one by zooming on this field. The item must have a type of Services.
    • Transport Pricing Item Class
      Equipment transport is charged per Inventory module items belonging to an item class created for this purpose. It is essential that pricing is set up and the default selling unit of measurement and default price level are set up for each transport item of this class in the Inventory module.
    • Invoice Type ID
      Select the invoice type ID to be used for transport invoices, which are not generated from the Rental module. Invoice types are created in the SOP module.
    • Next Request Master Number
      Enter the starting number for the request master number.
    • Next Job Number - Deliveries
      Enter the next job number for deliveries, retrievals, and other jobs. The request master number maintains a link between transport documents. The system will always try to link a delivery and pickup and use the same number, with different prefixes, for both.
    • Next Job Number - Retrievals
      Enter the next job number for retrievals. The request master number maintains a link between transport documents. The system will always try to link a delivery and pickup and use the same number, with different prefixes, for both.
    • Next Job Number - Other
      Enter the next job number for other jobs. The request master number maintains a link between transport documents. The system will always try to link a delivery and pickup and use the same number, with different prefixes, for both.
    • Reuse Transport Job Numbers
      Mark the checkbox next to numbers that you want to reuse. Reusing numbers from deleted jobs will ensure a full sequence of job numbers.
    • Internal Transport Charges
      Enter the Base Charge, Charge Per Hour, and Round To Nearest Minute rates for internal transport charges. When the system calculates the costs for a job, it will use these rates and round off the rate per the number of minutes specified.
    • Scheduler Refresh Rate
      Enter the Maintenance and Inquiry scheduler refresh rates. These are the intervals at which information on the Transport Scheduler will be automatically refreshed.
