Creating a Booking or Agreement from Inquiry
This feature adds the ability to create a rental or job booking or rental agreement from Rental Availability Inquiry. Additionally, a job booking or job agreement can be created. The equipment displayed will be filtered by the user's branch, if branch filtering is turned on. For more information on branch filtering, see User branch filtering for Equipment Management.
Accessing the inquiry window
Rental Availability Inquiry can be accessed directly (Inquiries > Equipment > Rental Availability Inquiry) or from the following windows by choosing Availability:
- Customer Center
When accessing the inquiry window from Customer Center, the customer and address ID will default into the Create New Rental Document window. For more information, see Customer Center. - Rental Agreement Entry
When accessing the inquiry window from Rental Agreement Entry, the agreement number will default in and the type will default to Existing. - Rental Booking Entry
When accessing the inquiry window from Rental Booking Entry, the booking number will default in and the type will default to Existing.
Creating a rental booking or agreement from inquiry
When creating a rental booking or agreement from Rental Availability Inquiry, you have the option to create new or add to an existing booking or agreement.
To create a rental booking or agreement:
In Rental Availability Inquiry, complete the header fields as necessary and select Redisplay.
- Mark the checkbox next to the equipment to be added. At least one checkbox needs to be marked.
- Select Booking or Agreement.
- In the window that displays, complete the following fields:
- Type
Select New to create a new booking or agreement or select Existing to add to an existing booking or agreement. - Booking/Agreement Type ID
Select the type ID if you are creating a new booking. If you chose Existing, the type ID will default in based on the booking/agreement ID. - Booking/Agreement ID
Select the booking/agreement ID if you are adding to an existing booking or agreement. The booking/agreement ID lookup will filter to only those available for the customer and address ID. This field is disabled if you chose New. - Customer ID
Enter the customer ID. - Address ID
The customer's address ID will default in or you can select a different address ID. - Rental Dates
The rental dates will default from Rental Availability Inquiry or you can enter new dates.
- Type
- Select Process to add the equipment to either a new or existing booking or agreement. Rental Booking Entry or Rental Agreement Entry will open displaying the booking and may be edited as needed.
Creating a job booking or agreement from inquiry
When creating a job booking or agreement from Rental Availability Inquiry, you have the option to create a new booking or add to an existing booking.
To create a job booking or agreement:
- In Rental Availability Inquiry, complete the header fields as necessary and select Redisplay.
- Mark the checkbox next to the equipment to be added. At least one checkbox needs to be marked.
- Select Booking or Agreement.
- In the window that displays, complete the following fields:
- Type
Select New to create a new booking or agreement or select Existing to add to an existing booking or agreement. - Type ID
Select the type ID that has been set up as Rent to Job if you are creating a new booking. If you chose Existing, the booking type ID will auto-populate based on the booking ID. - Booking/Agreement ID
Select the booking/agreement ID that has a type ID of Rent to Job if you are adding to an existing booking. This field is disabled if you are creating a new booking. - Job Number
Select the job number. - Cost Code
Enter the cost code. - Rental Dates
The rental dates will default from the Rental Availability Inquiry window or you can enter new dates.
- Type
- Select Process to add the equipment to either a new or existing booking or agreement. Job Booking Entry or Job Agreement Entry will open displaying the booking and may be edited as needed.
