Setting Up Equipment Numbering Types

Numbering types define the format of equipment IDs. You can set up multiple equipment numbering types, and when creating a new equipment record or purchasing a new piece of equipment, you must select the numbering type that you want to use to generate the equipment ID.

For example, a numbering type may include Branch- and Numeric-based segments. Equipment IDs generated with this numbering type would include part of the name of the equipment branch, followed by a number that increments for each piece of equipment from this branch. Numbering is automatic based on the numbering type you select.

Segments can also be based on category, model, division, or type. When setting these up, you define the segment that will be used to identify each type.

You can also assign an equipment numbering type to a purchase order type; when a new piece of equipment is purchased, the numbering type will default from PO Type setup. See Setting Up the Purchasing Module.

  1. Select Microsoft Dynamics GP > Tools > Setup > Equipment > Equipment > Equipment Numbering Types.
  2. Enter the Equipment Numbering Type and a Description.
  3. For the first Segment, select a Type and enter the Size in digits. If you select, for example, a type of Division and a size of 4, the first segment will be 4 characters from the division to which the equipment belongs. You would define the 4-character segment in the Division Setup window.
  4. Select Insert >>. The information you need to enter depends on the type of segment:
  5. If you selected a type such as Branch, Category, Model, or Type, the segment is pre-defined per the Equipment ID Segment Value for that characteristic.
  6. If the type is Numeric, the Increment checkbox will be marked and you can enter a Starting Value and Ending Value. If the checkbox is not marked, you can enter only a Starting Value. 

    The incrementing value only changes for equipment IDs of the same branch, category, model, or type. For example, if the first segment of an equipment ID is based on the model, a second segment that is numeric will increment independently for each model (BOBCAT0001, BOBCAT0002, BOBCAT0003, and JNDERE001, JNDERE0002, JNDERE0003).
  7. Repeat steps 3 and 4 to define any additional segments you want to include in equipment IDs that follow this type. The maximum length for an equipment ID is 15 characters; the sum of all segment sizes cannot exceed 15. If you are using Service Management, the limit is 10 characters; to link equipment records between the two products, you should limit the length of the equipment ID to 10 characters.
  8. Select Save.
